Automating a US small business's back office, without hiring a big consulting firm

A large consulting firm is the right call when the change crosses several departments and a board has to sign off. For a small US company with one broken back-office process, it usually costs more than the problem.

This page is for that second company. I work remotely from Taiwan, I take on clients in the United States, and every price is fixed in US dollars before work starts.

One person who does the analysis and the build

You get a business analyst who maps how the process runs today, decides which steps should stay with a person, and then builds what is left. The same person writes the diagnosis and has to make it work, so the diagnosis has to be honest. I have nineteen years of enterprise analysis behind me, at KPMG, E.SUN Bank, and Mercedes-Benz Mobility, and I am CBAP and PMP certified.

The back-office work this fits

  • Enquiries that arrive by form or email and need sorting and routing
  • Reports and reconciliations that someone re-types by hand every week
  • Knowledge that only one person on the team holds
  • Document reviews that follow the same checklist every time

Asynchronous, with everything written down

I am in Taiwan, GMT+8, which is twelve to sixteen hours ahead of the continental US depending on the coast and the season. The work runs asynchronously: written updates, documented progress, and a reply to your message within one to two business days.

It runs in your accounts, not mine

When the build is done, it runs in your own accounts, with documentation your team can follow without me, and a short training session. If you would rather not maintain it yourself, a monthly retainer keeps it running.

The rate card

  • AI Workflow Audit: $1,500 fixed
  • Build Sprint: $3,000 to $5,000, with the exact price agreed before work starts
  • Monthly Retainer: $750 to $1,500 a month, only once something is live
  • Document Starter: $500 fixed, one week, for a smaller first step

All four are on the services page, along with a lower first-project price for new clients and the conditions that come with it.

When I am the wrong hire

I am one person. If you need four people on it by Friday, or the work spans several departments that each hold a budget, a larger firm is the better answer. If you already know exactly what you want built and want marketplace rates, hire a freelancer. I will tell you that on the first call.
